System setup |
Menus, cost centres, and job stages often end up messy or incomplete | Core modules turned on, but not deeply tailored to how your team actually works | Simpro is mapped to your quoting, scheduling, mobile, and project workflows from end to end |
Templates & forms |

answering your common SIMPRO questions
Simpro often gets messy when the initial setup is rushed, not tailored to your business needs, or different people change settings over time. Cost centres, catalogues and job stages fall out of alignment, and the whole system feels clunky.
The fix is to rebuild the foundations properly, map your workflow, clean your cost centres and catalogue, standardise naming and archive anything old. Once the structure is right, Simpro becomes much easier to use.
Duplicates usually appear when imports are rushed or staff create items without a clear process. Start by auditing your catalogue, then merge or archive anything that’s doubled up. From there, limit who can add new items, stick to a clear naming standard, and use clean supplier price lists. Once the catalogue is tidy, quoting becomes faster and far less confusing for the whole team.
Your job stages should follow your actual workflow, not the defaults. A simple structure like Quote, Scheduled, In Progress, Variations, Review, Ready to Invoice and Completed works well. The goal is clarity, everyone should know exactly where a job is at a glance.
If you want this mapped properly, our Simpro experts can help you build a workflow that actually fits the way your business operates.
Look at how a job actually moves through your business, then build Simpro around that. Remove unnecessary steps and stick to one clear workflow so the team stays consistent. A simple, well-defined process makes the whole system smoother.
Create clear roles and match access to each role’s daily tasks. Techs should only see what they need on-site, admin should handle scheduling and quoting, and managers get reporting and higher-level settings. Keeping permissions tight reduces mistakes and makes training easier for everyone.
Clean your data before you import it, fix naming, remove duplicates, standardise catalogue items and check customer details. Import in small batches and test as you go. Good data means a clean, accurate system from day one.
If you’d like help getting this right, our Simpro experts are here to support you.
Begin by showing them exactly what they need for their role and walk them through your real workflow step by step. Use actual jobs, keep sessions short and avoid overwhelming them. Most people learn faster when they can see how Simpro fits into their day. If you want training done quickly and properly, TradiePad can get your new staff up to speed.
If your setup is clean and your workflow is simple, most teams settle in within a few weeks. It takes longer when the system is cluttered or everyone is using it differently, because staff are spending more time working around the problems than learning the software.
Yes, show them the whole job flow on one page. Start with how a job enters the system, how it gets scheduled, what they need to do onsite, and what makes it “ready to invoice.” Make it visual, simple and consistent, so everyone understands their part in keeping jobs moving.
If you’re unsure how to outline this for your team, TradiePad can map the workflow with you.
Give everyone the same process to follow and make it clear what “good” looks like. Standardise naming, show where notes and photos should go, and explain why clean data matters, quotes become faster, reports become accurate, and mistakes drop instantly.
If you need help setting up consistent data entry rules, TradiePad can help.
Document one clear way of working and make that the rule. Train everyone to follow the same steps, clean up old habits, and set permissions so only the right people can edit or create things. When the system is simple, people naturally stay consistent.
If you want help creating a clear, easy-to-follow workflow, TradiePad can build it with you.
Start by fixing the workflow, then retrain the team using real jobs and your actual process. Break training into small, focused sessions and follow up with quick how-to videos or cheat sheets they can refer back to. When the training matches your workflow, the system suddenly makes sense.
If you’d like guided retraining that fixes old habits fast, TradiePad can help get everyone back on track.
Forms usually fail to appear because they’re not assigned to the right cost centre, they’re not linked to the job type, or the mobile permissions aren’t set properly. Check that the form is active, assigned to the job, and enabled for the user’s mobile license. A quick tidy-up of settings normally fixes it straight away.
You can add or edit fields through the Form Builder inside Simpro. Open the form, drag in the fields you want, text boxes, checklists, photos, signatures, and save the updated version. Keep it simple and only add what your techs actually need onsite so the form doesn’t become overwhelming.
Forms are the documents your techs fill out, job cards, service reports, SWMS, maintenance logs, anything you want to print or send to a client. Scripts are on-screen prompts that guide your techs through steps in the app (such as, “Take photos,” “Record new materials,” “Complete checklist”). Forms capture info while scripts guide the workflow.
You can set them up as custom forms or scripts. For SWMS and safety checks, create a form with the required fields and link it to the job types or cost centres that need it. If you want techs to see prompts as they work, add a script that walks them through each step. Keeping both simple helps your field team stay compliant without frustration.
If you’d like help building clean, easy-to-use SWMS or safety checklists, TradiePad can set them up for you.
Use scripts or job finalisation requirements to force key actions, photos, notes, signatures, forms, before the job can move to the next stage. Set the form as “mandatory,” link it to the job type, and test it in the Simpro Mobile app. This stops jobs being closed without the info the office needs.
Invoices usually fail to sync because something doesn’t match between the two systems, wrong tax codes, missing account codes, duplicated customers, or an invoice status that Xero or QuickBooks won’t accept.
Check your GL codes, tax settings, and whether the invoice is in an approved state. Nine times out of ten, fixing those gets the sync moving again.
If you’d rather not troubleshoot it yourself, TradiePad can diagnose and repair the sync for you.
Set up your chart of accounts, tax codes, and payment terms in Xero or QuickBooks first. Then go into Simpro’s integration settings, connect your account, map each GL code to the right cost centre, and run a small test sync. Get the foundations right and everything else runs much smoother.
If you want the integration set up properly the first time, TradiePad can handle the whole process for you.
If things aren’t mapped correctly, or if your workflow isn’t built around the integration, you’ll still end up entering data twice. Fix the mapping, clean up duplicates, and make sure staff follow the right process. When the workflow is tight, double-handling disappears.
Simpro works best with Xero, QuickBooks, major supplier price lists, and a handful of field tools like eForms and some payment gateways. Anything outside the core ecosystem can work, but may need custom setup or careful mapping to avoid issues.
If you need help choosing or setting up the right integrations, TradiePad can make sure everything integrates together seamlessly.
Start with the provider responsible for the side that’s failing. You can log tickets with the provider, but integration issues often sit in the middle, and that’s where support teams can struggle.
Instead of getting stuck between two providers pointing in different directions, TradiePad can step in first to diagnose the problem, pinpoint exactly where the breakdown is happening, and provide a customised fix. We solve these issues every day, so you get a faster, clearer solution without the runaround.
Reports usually look “wrong” because the data going in isn’t clean, statuses aren’t updated, materials aren’t added correctly, or labour is entered inconsistently. Simpro can only report on what it’s given, so once your workflow and data entry are tightened up, the reports start matching reality.
Make sure every job has the right cost centre, correct labour rates, all materials recorded, and the job status updated as it moves through the workflow. Use the Job Profitability or Cost to Complete reports to see your margins clearly. When the setup and data are clean, the profitability numbers become reliable.
Start by checking your labour rates, overtime rules, and catalogue pricing, they must be accurate and up to date. Then ensure techs record their time properly and materials are added through prebuilds or the catalogue, not typed manually. Clean inputs mean clean reports.
If you want help tightening up your data and fixing reporting issues for good, TradiePad can sort it out with you.
Simpro has a powerful Report Builder, but it works best once your data structure is tidy. Choose the report type, pick the fields you want to track, filter by cost centres or job statuses, and save it for future use. Start simple and build from there, overly complex reports quickly become confusing.
If you want help building clear, useful custom reports, TradiePad can design the reports you need and show you how to use them.
Most of the time, it’s because the timing is different. Simpro shows revenue when the job is invoiced, while accounting software may show it when payment is received or allocated. GL codes, tax settings or invoice status mismatches can also throw the numbers out. Check your mapping and sync settings to line everything up.
If you’re struggling to reconcile the two systems, TradiePad can help clean up the configuration.
Use Simpro’s profitability reports and filter by customer, job type, or cost centre. This will show where you’re making money and where margins are slipping. Once your data is consistent, these reports become one of the most valuable tools in the system.
Old app versions or poor connectivity are common causes. Updating and syncing devices usually fixes it.
Keep the system simple and relevant. When staff see how it saves them time, adoption improves quickly.
That’s typically a permissions or sync issue. Once corrected, updates appear in real time.
Simpro Mobile stores job information directly on the device when you’re out of reception. Your team can still add notes, photos, forms and update the job status as normal. As soon as they’re back online, the app syncs everything automatically. It’s ideal for regional work or areas with patchy coverage.
Start by stripping out the noise. Turn off features they don’t need, tidy up their permissions, and clean up forms and scripts. Standardise naming so things are easier to find. When only the essentials are visible, jobs, materials, notes and forms, your team learns faster and makes fewer mistakes.
Use the schedule and job status updates inside Simpro. As your team travel, start work and update their jobs, the office sees it instantly. Some devices also support in-app location tracking for extra visibility. With a clean workflow, you get an accurate, real-time picture of where your team is and how each job is progressing.
Simpro usually slows down when there’s too much old data, oversized catalogues, messy workflows or poor internet connection in the office. Start by checking your internet speed, then clean up unused jobs, old assets, duplicate catalogue items and anything clogging the system. A tidy build runs noticeably faster.
If you can’t update a job, it’s usually because the job is locked by permissions, invoiced already, or stuck in a status that restricts editing. Check your permissions, make sure the job hasn’t been completed or invoiced, and see if another user has it open. Fixing the status or permission usually solves it instantly.
When workflows feel “broken,” it’s almost always because stages, statuses or permissions don’t match how your business actually operates. Map out the real job flow on paper, then realign Simpro’s job stages, scripts and forms to that process. One clean, consistent workflow fixes most day-to-day problems.
If you need help tightening things up, TradiePad can redesign your workflow properly.
Emails fail when the outgoing mail settings aren’t set up properly, the sender address doesn’t match the domain, or staff don’t have permission to send emails. Check your SMTP settings, confirm the email address is verified, and make sure templates are linked correctly. A quick settings check usually brings everything back online.
This happens when the Purchase Order isn’t created from within the job, or the job and cost centre don’t match the order. Open the Purchase Order and check the job number, cost centre and supplier details. If they don’t align, Simpro won’t link them. Rebuilding the Purchase Order from the job card is often the fastest fix.
If two people edit a job at the same time, the last save wins, so someone’s changes get lost. Make sure staff update jobs one at a time, and use clear workflows to avoid overlap. Tightening permissions and training helps prevent accidental overwrites.
If you’d like help tightening your workflow and permissions, TradiePad can get it sorted.
