A lot of Buildxact frustration is really “how it was configured,” not “what it can do.”
Buildxact works best when it’s configured around how you estimate and run jobs.
If setup is rushed or one-size-fits-all, the cracks show quickly, clunky takeoffs, unreliable numbers, and extra admin.

answering your common Buildxact questions
Start with one master estimate and turn it into a reusable template with a consistent category / stage structure, common items, and assemblies. Set clear markup rules (by category or item) and standardise item names, units, and inclusions so every quote follows the same format. Templates are managed in Estimates / Templates, and you can create them from scratch or save an existing estimate as a template.
Most of the time, the takeoff measurement isn’t linked to the correct costing line (or it’s linked to the wrong item/unit). Re-link the takeoff to the estimate costing using Buildxact’s calculator/linking tools, then confirm the units and quantities match what the estimate expects. Also check whether that takeoff was created as a “measurement only” takeoff, some takeoffs are deliberately not set to feed into costings, which can look like missing quantities.
Connect Buildxact to Xero or QuickBooks via Integrations, then map contacts, accounts/cost codes, and tax settings so transactions land in the right place. What syncs depends on your package and configuration, but it typically includes customer invoices and purchasing (e.g., received purchase orders), reducing double entry between Buildxact and accounting.
GST mismatches are commonly caused by different tax codes, rounding, or how markup/allowances are treated between the two systems, especially if line items are configured differently. The fastest way to diagnose it is to confirm the tax code on each line and review your integration/tax settings, then check the sync log if needed.
Open the estimate, click the arrow beside the estimate name, then select “Create job from this estimate”. Key job details (like description, building type, and customer) pre-fill from the estimate/quote setup, and your estimate becomes the baseline for running the job.
Buildxact uses Estimated as your budget from the estimate, Actual as what you’ve spent/received, and Committed as costs you’ve committed to (e.g., ordered) but haven’t fully spent yet, so you can see both current and forward-looking cost position. For it to work, you need a disciplined process: keep categories consistent, raise POs properly, and receive costs so actuals/commitments are reflected accurately.
This typically means Buildxact is trying to post to an account code that Xero won’t accept, for example, the code doesn’t exist, has been changed, or the mapped account isn’t valid for that document type. Check Integrations / View Log for the exact message, then confirm your Xero chart of accounts and Buildxact’s account mappings/coding are pointing to a valid, active code.
